Order Management: Efficiently coordinate and handle all sales orders, from receipt to delivery, ensuring that each order is processed promptly and accurately. You will also be tasked with minimizing misplaced or lost orders, thus safeguarding customer satisfaction and loyalty.
Customer Communication and Support: Maintain clear and consistent communication with customers throughout the order process. Address incoming queries and complaints effectively, providing timely and satisfactory resolutions to maintain the company’s image.
Service Complaints and Returns: Accurately register 100% of service complaints in the company’s database. Manage Return Material Authorisations (RMAs) by creating necessary documentation and liaising with all relevant parties to ensure a smooth return process.
Monitoring and Reporting: Plan, coordinate, and monitor the status of all sales orders to ensure they are processed and delivered in full and on time. Request delivery documents, such as invoices and consumption reports, and ensure they are received and accurately recorded for customer invoicing.
Data Quality and Archiving: Maintain high standards of data quality by meticulously documenting and archiving all stages of the order handling process. Ensure all records are up-to-date, easily accessible, and compliant with internal policies and regulations.
Process Improvement: Continuously evaluate and suggest improvements to the order handling process. Use available tools, policies, and procedures to enhance efficiency and streamline daily operations, thereby adding value to the business.
Internal Coordination: Work closely with internal departments, including Sales, Supply Chain, Finance, and Logistics, to ensure that all parties are updated on order statuses and any potential issues. Handle daily correspondence and provide solutions or escalate inquiries as necessary.
Performance Metrics: Help achieve the company’s delivery performance objectives by ensuring that all sales orders are processed, delivered in full, and on time. Proactively monitor open orders and other issues, keeping all stakeholders informed and updated.
